GUIDELINES

 

1. How to apply for admission:

    A student seeking admission  to a particular course should apply in the prescribed application form costing Rs. 500 (Rupees five hundred only) for Centres in India and US $ 50 for International Centres (Dollars Fifty only) which will be available at the respective Centres. The Centre Co-ordinator will collect and send all the applications of the students to the School of Distance Education, Mahatma Gandhi University with all certificates in  original within one month after the beginning of each course. The applications of candidates who do not possess the minimum required qualifications will be summarily rejected. Only those candidates who possess qualifications recognised by this University are eligible for admission. The details of courses and institutions recognised by Mahatma Gandhi University may be obtained from the Centre Co-ordinator.

 

2. How to fill up the application form:-

    The application form should be legibly filled in by the student himself/herself in his/her own handwriting. Photographs should be pasted in the relevent column and the same should be attested by the Centre Co-ordinator or a Gazetted Officer. The application form should be supported by the following certificates in original.

(i) SSLC/Equivalent examination (Attested true copy will be sufficient)

(ii) Qualifying Degree Certificate with marklist in the case of Graduates and qualifying Pass Certificate with marklists in the case of students who have completed pre-Degree/Higher Secondary.

(iii) Transfer Certificate, Course & Conduct Certificate from the institution last attended.

(iv) Community Certificate from Village Officer in the case of students belonging to backward classes (SC/ST/OEC)

(v) Demand Draft towards course fee. D D should be drawn from SBT or SBI in favour of the Finance Officer, Mahatma Gandhi University, payable at State Bank of Travancore, Mahatma Gandhi University Campus Branch (Code 669), Priyadarshini Hills, Kottayam.

Incomplete / defective applications will be rejected.

 

3. Admission Procedure:-

(i) Applications complete in all respects will be processed in the School of Distance Education and admission cards will be issued to each student through the Centre concerned. The applications for matriculation / recognition / eligibility certificates are also provided along with the application form. Students who have passed their qualifying examination from Universities other than Mahatma Gandhi University should apply for matriculation. Applicants from Universities/Institutions other than Universities in Kerala should apply for eligibility certificate and recognition. No separate fee is to be remitted by them. Similarly candidates from other Universities should produce Migration Certificates / No Objection Certificates from the Universities or other Boards of Examinations.

(ii) The Centre Co-ordinator will satisfy himself that admission is given only to those applicants whose qualifications are recognised by this University. He will attest the application for matriculation / recognition / eligibility certificate after getting them filled in.

(iii) The students who have passed courses run by the Boards/Universities of foreign countries should submit an application for course recognition with prescribed fee at the time of admission and a copy of the Syllabus attested by the Indian Embassy concerned.

(iv) Outside India where migration certificates are not issued by the Boards/Universities, a certificate from the concerned Boards/Universities should be submitted to the effect that they do not follow the procedure of issuing migration certificates. This certificate should be attested by the Indian Embassy concerned.

(v) Outside India where transfer certificate are not issued by the institutions the students should produce a document in a form prescribed by the School of Distance Education relating to the details in the T. C. and the document should be signed by the Head of the institution from which the student has completed his/her qualifying examination. In the case of private candidates the document should be attested by Indian Embassy concerned.

(vi) Outside Kerala, where the colleges are not issuing T. C., the students should produce their Course Leaving Certificates from the institution instead of T. C. A seal shall be affixed on the reverse side of the said Certificates from the School of Distance Education and also on the reverse side of the provisional/Degree Certificates as the case may be showing the details of registration. The Certificates will be returned to the Centre Co-ordinators after verification.

 

4. Mode of Payment Of Fees

    The fees prescribed shall be paid in the form of demand draft only. The Centre will issue the application forms to the students for admission to the course, collect the filled in applications and send them on to the School of Distance education along with the registration fee and the tuition fee in full. In the case of M.C.A. and M.Sc. Information Technology, the tuition fee need be paid only in two instalments. The demand drafts for registration fee, tuition fee and examination fee should be drawn in favour of the finance officer, mahatma gandhi university payable at state bank of travancore, mahatma gandhi university campus branch. Code No. 669. Demand Drafts drawn from State Bank of India or State Bank of Tavancore payable at S. B. T., M. G. Uty. Campus Branch, Priyadarshini Hills only will be accepted. Tuition fees of the candidates whose applications are rejected will be sent back to the Centre. The admission cards of candidates will be sent to the Course Co-ordinator of the concerned Centres to be distributed to the students.

 

5. Syllabus and Scheme of Examinations

    The University shall have the exclusive right to prescribe the syllabi for the courses of study for each year and to prescribe the scheme of examinations. One copy of the syllabus will be given to each student. The University reserves the right to change /modify/ alter the syllabi at any time and conduct the examination accordingly.

 

6. Course Material

     The School of Distance Education will supply the study materials except part II aditional languages to candidates.

 

7. Conduct of Classes, Seminars

     The classes for the students will be arranged and conducted at the Centre. In conducting such programmes the relevant provision in the University Regulations shall be followed. The University may arrange common seminars, if required, at selected Centres. The students and other faculty members participating in the seminars will have to bear their own expenses.

 

8. Conduct of Examinations

     The University will conduct examinations at the notified Centres provided that sufficient numbers of students appear for the examination. To be eligible to appear at annual examination in any course, a candidate is required to fullfil the following conditions.

(i) Full payment of Course fee for the year.

(ii) 75% of the prescribed attendance.

(iii) Submission / Completion of Project Report, Dissertation and Practicals within the specified date.

      Notification will be issued by the Controller of Examinations for the conduct of Examinations of the Off Campus Academic Programmes. Centre Co-ordinator shall arrange to collect sufficient number of examination application forms by remitting the prescribed amount and should distribute it to the students. The Co-ordinator is also responsible to forward the filled in exam applications to the School before the last date for submission of application prescribed in the notification. It will be the duty of the students to receive hall tickets for the examination from the Centre Co-ordinator well in advance of the examination as per rules and precedence in this regard.

 

9. General Points for Information

(i) Students are not permitted to do more than one course at a time.

(ii) Applications for the examination along with the required fee should be forwarded to the Director, School of Distance Education through the Centre concerned. The time table, venue and other details of examinations will be communicated to the Centres / Student at the appropriate time. Hall tickets will be issued to the students through the centre of the examination. Change of  examination Centre will be permitted only in the case of candidates failed in the final examination.

(iii) Copies of result sheets and mark lists will be made available at the concerned Centres by the Controller of Examinations.

(iv) Documents submitted along with the application shall be returned after verification in the office of the School of Distance Education. Students are advised to keep enough photostat copies of the documents before submitting the same to the office.

(v) Change of Centre of study will be allowed only in exceptional cases and with the permission of the Director, School of Distance Education and with the concurrence of the concerned Centres on payment of the prescribed fees.

(vi) All students, including those belonging to backward classes, are required to pay the fee in full at the time of admission. They will be permitted to receive the concessions from Harijan Welfare Department as per rules in this regard. (vii) Transfer Certificates and Conduct Certificates will be issued by the Director, School of Distance Education on completion of course if the Centre Co-ordinator recommends the issue of the same.

(viii) Fee once paid will not be refunded under any circumstance.

(ix) If a candidate who has discontinued a course in a particular year, seeks permission for re-admission in another year, he should apply with the recommendations of the Centre Co-ordinator as per the University rules. He should also pay the re-admission fee prescribed by the University. Cancellation of the registration to a course can be made on the request of a candidate if the application for cancellation is recommended by the Centre Co-ordinator. Students who wish to cancel the registration after first year exam should  produce examination cancellation order from the Controller of Examinations. Candidates discontinuing a course of study in a particular semester / year have to pay the full fees of that semester/year and 10% of the fees of subsequent semester / year as Fine.

(xi) Complaints if any shall be lodged with the Vice-Chancellor of the University and his decision shall be final. Disputes if any shall be decided by the Court of Law located at Kottayam or Ernakulam, Kerala.
